Description
Immaculate Heart High School, a Catholic, independent, college preparatory school for girls, located in the Hollywood/Los Feliz area of Los Angeles, California, seeks an experienced Attendance Clerk/Assistant to the Registrar. Applicants should be familiar with and supportive of the educational and spiritual philosophy and mission of a Catholic high school.
The Attendance Clerk/ Assistant to the Registrar reports to the Principal and works closely with the Dean of Students and the Registrar. The ideal candidate for the position will be highly organized, detail-oriented and technologically savvy. The position requires strong communication skills and the ability to interact with parents and students daily. This is a twelve month, non-exempt position.
Specific responsibilities include:
- Maintain and update all student (and relation) records for the high school.
- Keep files of student records secure.
- Maintain up-to-date immunization and health records. Follows up on student records that are not complete with regard to required medical information.
- Update Learning Management System alerts for students with critical health issues.
- Function as the attendance clerk; keeping accurate record of student daily attendance and posting absentee list for faculty within the employee portal section of the school’s website.
- Create attendance reports for the Dean of Students.
- Oversee the health room.
- Follow procedures in releasing students to legally designated adults.
- Send fully completed transcripts to appropriate recipients as requested by students and alumnae.
- Prepare an accurate list of graduates’ names to be printed on diplomas.
- Order diplomas; prepares these in proper order for presentation at graduation.
- Issue work permits to students.
- Process labels/ envelopes for high school mailings.
- Perform other duties as assigned by the Dean of Students, Assistant Principal, and High School Principal.
Requirements
- Bachelor’s degree or relevant work experience
- Prior experience in an educational setting
- Prior experience as an administrative assistant
- Excellent clerical, communication, and organizational skills
- Motivated, enthusiastic, and a quick learner
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
