Position Summary
The Front Desk Administrative Assistant serves as the first point of contact for all guests, students, and community members visiting the campus. This role ensures a welcoming and secure environment while providing front office administrative support, managing phone communications, and assisting with daily visitor tracking through the SchoolPass system.
Key Responsibilities
- Visitor Management & Security: Greet visitors, guide them through check-in protocols using SchoolPass, issue badges, and enforce campus safety procedures.
- Communication Handling: Answer all incoming phone calls within three rings, direct callers efficiently, and manage voicemail systems.
- Administrative Support: Sort and deliver mail, prepare faculty documents, manage outgoing correspondence, and support general office duties.
- Attendance Coverage: Cross-train in attendance procedures and serve as a backup for the Attendance Officer as needed.
- Technology Use: Operate administrative and communication platforms including Google Workspace, Blackbaud, SchoolPass, and Microsoft Office tools.

Work Environment
- Presence at the front desk is required during operating hours (7:30 AM – 2:00 PM)

Requirements
Qualifications
Required:
- High school diploma or equivalent
- 1–3 years of experience in an administrative or receptionist role
- Strong communication and customer service skills
- Proficiency in using Google Workspace and navigating digital check-in systems
- Ability to handle sensitive information with confidentiality
- Must pass a background check and complete VIRTUS training
Preferred:
- Prior experience in a school or public-facing educational environment
- Familiarity with Blackbaud, SchoolPass, or similar platforms
- Understanding of Catholic and Franciscan values
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
