Description

The assistant role entails providing extensive clerical support to the Vice Principal of Curriculum and Mission and administrative team at La Salle College Preparatory. Key responsibilities include managing schedules, coordinating Vice Principal meetings, teacher evaluations, and classroom needs, handling teacher evaluation and budget data entry, assisting with our Academic Support scheduling and supervision, periodic La Salle front desk duties, and facilitating various administrative tasks such as event planning, committee, and community support. The position requires strong organizational skills, attention to detail, and the ability to communicate effectively while maintaining efficient office operations and supporting overall administrative functions.

Requirements

  • Provides clerical support to V.P. and other members of the administration.
  • Data entry and scheduling of all teacher observations and evaluations, and assists in ensuring that curricular or mission related forms and graphics are clear, visibly appealing, and overall user friendly for teachers and community members.
  • Sets up and maintains digital files and keeps correspondence and reports available for reference and efficient operation of the office.
  • Coordinates Upkeep requests for faculty/staff meetings and requests from teachers for classroom repairs/needs.
  • Coordinates hospitality requests for faculty/staff events. Leads set-up and clean-up of events.
  • Manages V.P.’s calendar, sets appointments and reminders, organizes communication and schedules meetings for committees and teams, and is the point of contact for V.P.’s events.
  • Data entry of department budget information. Follows up with completion of appropriate forms and signatures.
  • Organizes data on spreadsheets and helps to create infographic or visual representations for board reports.
  • Assists V.P. with the hiring process of teachers: posting jobs, collecting resumes, setting up interviews, and leads onboarding process.
  • Secretary for Academic Affairs, Mentor, and Mission committees. Responsible for keeping minutes, crafting agendas, and following up with team members and checking in on events and ideas to ensure that there is follow-through.
  • Assists with Academic Support and FlexiSHCED needs.
  • Assists with scheduling our Mandatory Academic Support students to classes when they fail to do so.
  • Acts as support to the VP in working with the Pasadena Unified School District regarding federal funds.
  • Assists other administrators as needed at the discretion of the VP of Curriculum
  • Lunch relief and member of the clerical back-up team to front desk.

Qualifications:

  • Demonstrated ability to provide comprehensive clerical support to senior executives and administrative teams.
  • Proficient in working with common Google Workspace apps (e.g. Google Drive, Google Calendar, Canva, Google Sheets, Google Forms etc)
  • Proficient in data entry and scheduling, with a strong attention to detail in managing teacher observations, evaluations, and classroom-related tasks.
  • Excellent verbal and written communication skills to ensure clarity and effectiveness in correspondence, reports, and Google Classroom forms.
  • Experience in setting up and maintaining office files, ensuring documents are readily available for efficient office operations.
  • Proven ability to coordinate and manage faculty/staff meetings, classroom repairs, and hospitality requests for events, ensuring smooth execution from set-up to clean-up.
  • Ability to effectively manage calendars, schedule appointments, and coordinate meetings and events, serving as the primary point of contact for VP-related activities.
  • Proficient with data entry and management for departmental budgets, including following up on necessary forms and approvals.
  • Ability to assist in the hiring process for teachers, from job postings to resume collection, interview scheduling, and onboarding processes.
  • Ability to serve as secretary for various committees, maintaining minutes, crafting agendas, and ensuring timely follow-up on action items.
  • Willingness and ability to work collaboratively with internal teams and external stakeholders, including interactions with parents, and PUSD.
  • Willingness to provide lunch relief and serve as part of a clerical backup team for front desk duties, demonstrating adaptability and teamwork.
  • AA or BA degree. Degree may be waived if there is significant work experience related to the position, at the discretion of LSCP.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
