Description
The Advancement Database Coordinator is a full-time exempt position that reports directly to the Vice President of Institutional Advancement and is responsible for services including, but not limited to, data entry, gift acknowledgement, stewardship tasks, and day-to-day team coordination.
The advancement team supports the Notre Dame High School community through the cultivation of relationships and resources. All team members will assist in developing and managing relationships with alumni, donors, community members, foundations, and other key supporters or constituents. Confidentiality is imperative in this department. We are committed to teamwork, collaboration, and excellence. The ideal candidate will demonstrate excellent attention to detail, a collaborative approach to their work, and an interest in working as part of a dynamic team. This role will support the coordination of advancement activity, including generating reports, updating records (using Blackbaud Raiser’s Edge NXT), gift processing, donor support, event support, and internal advancement activity. This position will interface with other departments, vendors, donors, volunteers, and parents to further all advancement initiatives as needed. This is a campus-based, year-round, Monday-Friday position, with occasional weekend events.
PRIMARY RESPONSIBILITIES
- Coordinate and manage team-related tasks, such as processing mail, maintaining files, and ensuring that the advancement department operates efficiently and effectively.
- Structure team meetings to ensure the team knows deadlines, events, and activities.
- Create and generate queries, export and review data for mailings, events, analysis, and tracking fundraising results.
- Update and generate reports on NXT for team meetings, board meetings, and weekly gift reporting.
- Ensure compliance with data integrity standards related to our CRM database (Raiser’s Edge NXT), including gift entry, confidential donor information, and processing donations and online transactions.
- Work with the Business Office to record fundraising income and pledges, and support with accounting, audits/reconciliation.
- Ensure the integrity of donor records and donation information for publication on the school website, year-end annual report, and other school publications.
- Engage in the life of the school community through presence at school Masses, assemblies, rallies, retreats, sporting events, visual and performing arts events, etc.
Requirements
- Bachelor’s degree preferred.
- Proficiency in MS Office and advanced experience in Excel are required.
- Experience with donor/constituent management and event management systems, such as Blackbaud Raiser’s Edge NXT, is a plus.
- Willingness to collaborate, problem solve, and share best practices with colleagues.
- Excellent organizational skills.
- Demonstrated ability to prioritize and effectively manage multiple tasks and deadlines with minimal supervision.
- Excellent verbal/written and interpersonal communication skills with donors and staff.
- Ability to work well with others, exercise sound judgment, and work occasional flexible hours (including evening and weekend as needed).

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
