INTRODUCTION
Loyola High School of Los Angeles is a Catholic, Jesuit school with an enrollment of 1250 boys. It offers a four-year, academically rigorous college preparatory curriculum, robust fine arts and music program, an array of co-curricular activities, and a strong service and justice and retreat program. Run by the Society of Jesus (Jesuits), it is located in the heart of Los Angeles.

POSITION PURPOSE and SUMMARY
The Loyola Learning Center (LLC) exists to support the approximately 15% of our student body who are challenged by learning differences/disabilities. The academic support that is offered through the LLC is structured to negate the impact of each student’s learning difference/ disability, making the playing field level so they can each reach their academic potential.

The Administrative Assistant plays a vital role in supporting the smooth and professional operation of the Loyola Learning Center. This position provides essential administrative support to the Head of the Learning Center, the Learning Specialist and the Testing Coordinator. The Administrative Assistant is often the first point of contact for the LLC and is expected to demonstrate a high level of professionalism, organization, and discretion.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Serve as the first point of contact for students, parents, and faculty/staff to visit the LLC; maintain a welcoming and professional environment with gracious hospitality and daily presence.
  • Answer and direct phone calls and emails in a courteous and efficient manner.
  • Maintain confidential student files (both physical and electronic files)
  • Maintain a high level of confidentiality and professionalism
  • Maintain office supplies, equipment, records and files
  • Maintain an orderly office space
  • Manage logistical considerations for programs and events
  • Procure food and supplies for LLC events
  • Manage printing and other production efforts necessary for the LLC
  • Run errands related to the work on campus when necessary
  • Assist in the planning and implementation of events or programs
  • Create flyers and posters for the LLC
  • Read, research, and route correspondences
  • Draft letters and documents as requested or when appropriate
  • Prepare reports and presentations as requested or when appropriate
  • Track expenses, maintain spreadsheet (Google Drive and Excel)
  • Initiate communications with necessary staff/external partners
  • Manage project completion processes as requested and when appropriate
  • Provide support at meetings as warranted – arranging for hospitality, making flyers, sending communiques, etc.
  • Support Junior Ignatian Scholar After School Tutoring and Mentoring Programs by keeping track of both tutors and tutees’ attendance
  • Work collaboratively as a LLC team member
  • All other duties, as assigned by the Head of the LLC

Requirements

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor’s Degree preferred and 2+ years of professional work experience, ideally in an educational environment

KNOWLEDGE, SKILLS, AND ABILITIES AND DISPOSITIONS

  • Highly organized and detail oriented professional with a strong sense of initiative, cultural awareness, and sensitivity
  • Must be capable of managing the office while other LLC employees are out
  • Ability to be flexible and move fluidly between work projects and assignments
  • Ability to juggle multiple competing priorities simultaneously
  • Critical attention to detail
  • Strong computer skills including MS Office Suite and G-Suite products, Canva, etc. with a willingness, interest, and ability to learn new skills when necessary or requested
  • Professional level writing skills sufficient for effective written communication
  • Requires interaction with faculty, staff, students, parents, visitors, and benefactors – must be able to communicate helpfully with all

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
