Description

Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.

The School Secretary will have strong written and verbal communication skills, be a self starter who will anticipate beyond a checklist, and have strong technology skills. A friendly, organized, and detail-oriented self-starter in our front office.

Responsibilities:
1. Communicate effectively both verbally and written. Bilingual is preferred.
2. Manage student databases with outstanding technology skills (Word, Excel, Google Management Systems, Gradelink, Gmail, etc.)
3. Prioritize and manage time well and keep systems organized (tracking parent volunteer hours, forms etc.)
4. Multi-task and think flexibly in a fast moving environment (complete daily tasks such as making copies or student tardies while also attending to the phone and visitors).
5. Initiate projects, give suggestions, and anticipate beyond the checklist.
6. Possess strong clerical skills (Typing, copies, scanning, etc., as well as hospitality, filing, and archiving)
7. Utilize discretion when handling confidential documents and information, mail, and messages.
8. Demonstrate strong people skills by working well with students, parents, and faculty members with a positive attitude and growth mindset.
9. Meet with School Staff weekly to review agendas

Essential Job Functions
1. Create and maintain school rosters (including classroom, CYO, enrichment programs, family, etc.)
2. Maintain and keep current SJOG student and teacher records
3. Partner with Classroom Teachers in the planning of field trips
4. Partner with the PTO to make school events successful
5. Partner with School Staff and Personnel on school-led events
6. Help maintain and keep current Student Sacrament records; partner with Religious Ed Office to ensure students are preparing to receive their sacraments in a timely manner.
7. Partner with PTO, 8th Grade Parents, and 8th Grade classroom teacher to plan for graduation ceremonies and parent events.
8. Partner with Athletic Director to plan Sports Banquet
9. Prepare and update student Cumulative Folders (incoming and outgoing)
10. Responsible for the scheduling of school functions/events such as picture days, monthly calendars, schoolwide rosaries, monthly confessions, etc)
11. Student recordkeeping aligned with WASC reporting requirements

Requirements

1. Minimum of 3 years secretarial/admin assistant experience
2. Strong communication, collaboration, and organizational skills
3. Ability to be a learner and a self starter
4. Technology skills and ability to problem solve

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
