Description
The School Secretary serves as the first point of contact for St. Gertrude the Great Catholic School, creating a welcoming and professional environment for students, families, faculty, and visitors. This position provides administrative support to the Principal and school staff while ensuring the efficient operation of the front office.
The School Secretary is responsible for maintaining accurate student records, processing tuition payments and family accounts through FACTS Tuition Management, receiving and recording school funds, preparing bank deposits, and assisting families with tuition inquiries and payment arrangements. The secretary oversees student enrollment and registration, maintains records in Gradelink, prepares monthly family statements, and ensures all student documentation is complete and compliant.
Additional responsibilities include answering phones, greeting visitors, managing school correspondence, coordinating field trip paperwork, maintaining office supplies, assisting with fundraising records, preparing reports, supporting state and Archdiocesan reporting requirements, and providing administrative assistance for school events and daily operations.

Requirements
- High school diploma required; Associate’s degree preferred.
- Minimum of two (2) years of administrative or secretarial experience; school office experience preferred.
- Experience using FACTS Tuition Management, Gradelink, Google Workspace, Microsoft Office Suite, and general office technology preferred.
- Ability to accurately process tuition payments, maintain financial records, prepare deposits, and reconcile daily receipts.
- Strong customer service and interpersonal skills with the ability to build positive relationships with students, parents, faculty, and visitors.
- Excellent verbal and written communication skills.
- Highly organized with exceptional attention to detail and the ability to manage multiple tasks simultaneously.
- Ability to maintain confidential student, family, personnel, and financial information.
- Strong problem-solving skills and the ability to work independently in a fast-paced school environment.
- Demonstrated professionalism, reliability, and a welcoming attitude.

- Must successfully complete Archdiocese of Los Angeles employment requirements, including fingerprint clearance (Livescan), VIRTUS Safe Environment training, and all required compliance training.
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
