Reports to Principal and Director of Operations
Working alongside other departments (finance and admissions)
40 Hours / Mon- Fri.

  • Open and close the front office, ensuring all lights, doors, and necessary equipment are properly managed.
  • Greet and assist visitors, students, and faculty in a welcoming and professional manner.
  • Answer and direct phone calls, take messages, and provide information as needed.
  • Help Attendance Office with morning phone calls from parents reporting a tardy or absence.
  • Manage and maintain records of parent service hours and notify parents of balance throughout the school year.
  • Keep a log of early dismissals and report data to the Dean.
  • Sort and distribute mail, ensuring time-sensitive materials are delivered promptly.
  • Manage deliveries and notify recipients. Ensure that packages/deliveries are removed from the lobby on a daily basis prior to closing the office.
  • Collaborate with other staff on projects as needed.
  • Maintain the front office area, ensuring it is organized and presentable.
  • Process & mail transcript requests (official transcript Alumni or current students).
  • Receive over the counter payments, provide customer receipt. Prepare any transaction reporting to the finance team at the end of each day.
  • Assist with mailing (preparation, labels, etc.) as needed.
  • Assist Admissions team with collecting records from other schools, parents.
  • Provide general information to parents, students, staff and general public.
  • May assist in other operations of the school finance department.
  • May assist in other school events/activities as assigned.
  • May assist in office supply management.
  • Performs any other duties assigned by the Principal.

Requirements

Required Qualifications:

  • Bilingual required (English /Spanish)
  • Proficient with Microsoft Office (word, excel) & Google Suite (docs, sheets, gmail, calendar).
  • Detail oriented and organized especially with financial transactions.
  • Strong work ethic and excellent attendance record.
  • Courteous and professional customer service.
  • Ability to multitask.
  • Prior experience in a Catholic school setting / office is a plus!
  • Provide 3 professional references
  • Background check and VIRTUS certification required.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
