Description
St. Andrew Catholic School is seeking a welcoming, organized, and detail-oriented Administrative Assistant / School Office Coordinator to support daily school operations and provide excellent service to students, families, faculty, and visitors. The ideal candidate is a positive team player who is committed to creating a warm, professional, and faith-filled school environment.
Requirements
Responsibilities:
Front Office & Administrative Support
- Serve as the first point of contact by answering and directing phone calls, responding to emails, and welcoming students, families, and visitors.
- Provide friendly and professional assistance to parents, students, faculty, and staff.
- Maintain accurate student records, attendance records, enrollment information, and confidential files.
- Assist with student registration, re-enrollment, and maintaining required student documentation.
- Prepare reports, correspondence, forms, and other administrative documents as needed.
- Maintain office supply inventory and coordinate ordering of materials.
- Assist with copier/printer maintenance and communicate with vendors as needed.
- Support the Principal and administrative team with daily office operations and special projects.
- Maintain compliance with Archdiocesan policies and procedures.
Financial & Operational Support
- Assist with tracking invoices, payments, and office expenses.
- Support budget tracking and reimbursement processes.
- Maintain organized records for financial and operational needs.
- Assist with fundraising activities, school events, and campus initiatives.
School Community & Hospitality
- Provide a welcoming and supportive presence for students, families, and guests.
- Assist with planning and coordinating school events, meetings, and activities.
- Support family communication through emails, newsletters, and school platforms.
- Assist with volunteer coordination and event preparation.
- Be present and available during school activities and events as needed.
Technology & Communication
- Utilize Google Workspace and school platforms for daily administrative tasks.
- Assist families and staff with basic technology needs and online systems.
- Maintain accurate digital records and databases.

- Ability to maintain confidentiality regarding student and family information.
- Strong computer skills and ability to learn new software and systems.
- Experience with Google Workspace (Docs, Sheets, Forms, Calendar, Drive) preferred.
- Previous school, administrative, or customer service experience preferred.
- Bilingual in English and Spanish preferred to better support and communicate with our diverse school families.
- Ability to work collaboratively as part of a team.
Compensation:
The rate of pay offered to the selected candidate will be based on internal pay policies, budget considerations, experience, qualifications, and other relevant factors. Compensation decisions will consider the candidate’s skills, education, training, and experience.
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
