Description
The Parish Receptionist is the initial contact for staff and all visitors to the Parish. The receptionist is responsible for administrative functions, general communications to church members and clerical functions while providing secretarial and administrative support to the Pastor and designated parish staff, as directed by the Parish Administrator
Under the direction of the Parish Administrator, the Parish Receptionist is responsible for the following:
DUTIES AND RESPONSIBILITIES
- Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
The following tasks are considered essential functions of the position. To perform the job successfully an employee must possess the abilities and aptitude to perform each duty proficiently.
- Welcome, greet visitors.
- Providing a warm and helpful presence at the front desk.
- Managing phone calls, emails, and correspondence with professionalism and care.
- Handle Mass Intentions by scheduling the date and handling donation.
- Distribute incoming mail and packages.
- Monitor office supplies, including stocking copy machine with paper.
- Proficiency in office software (Microsoft Office Suite).
- Attention to detail and organizational abilities.
- Assist with social media tasks, including content creation, scheduling posts and monitor messages on parish social media platforms.
- Assisting with various administrative tasks to support parish operations.
- Keeping the office space organized and running smoothly.
- Maintain discretion and confidentiality.
- Ability to multi-task and prioritize projects as well as to work independently.
- Understanding of religious practices and church protocols.
- Commitment to the values and mission of the parish.
Requirements
GENERAL
- Maintains effective working relationships with Parish and School staff and all other ministries to coordinate activities as appropriate.
- Actively support philosophy and goals of the Church; attends services; assists with ministries and similar activities.
- Understands the importance of confidentiality of church records and conversations.
- Perform related duties as required.
KNOWLEDGE, SKILLS AND ABILITIES
- General office procedures, familiarity with office equipment (computer, copier, fax machine, adding machine) and excellent spelling and grammatical skills.
- Above average typing/word processing skills, excellent organization skills and the ability to understand and follow instruction, as well as to work independently.
- Cordial and effective communication with priests, parishioners, vendors, committee members, officers of Church Councils, school faculty and families, and Diocesan office personnel is an ongoing necessity.
- Trustworthy, reliability, willingness to maintain confidentiality and the ability to complete routine and delegated assignments in a timely matter are essential.
- Computer skills including knowledge of Microsoft Word, Excel, Canva, Adobe.
Physical Demands
- Occasionally lift up to 20 pounds
- Sit for sustained periods of time on a daily basis
- Perform tasks requiring intermittent bending, stooping, and walking
- Sustain frequent movement of the fingers, wrists, hands and arms
EDUCATIONAL AND EXPERIENCE REQUIREMENTS
- Active member of the Roman Catholic faith community.
- High school graduate.
- Prior experience of at least two years as a receptionist or similar administrative position.
WORKING REQUIREMENTS
May require some variable hours and on-call response after regular business hours to meet the needs of the Parish; requires some weekend, holiday and evening work for events, or the ability to arrange coverage. These times include Christmas season, Holy Week/Easter, fundraisers, after Mass functions, etc. Local travel for business purposes may also be required.
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
