SCHOOL MISSION AND DESCRIPTION
Saint Monica Preparatory is a coeducational, Catholic TK-12th grade school in the heart of Santa Monica, CA. The parish school is a ministry of the vibrant St. Monica Catholic Community located seven blocks from the ocean. Saint Monica Preparatory (SMPREP) seeks an Advancement Assistant to support its school mission: “Guided by Catholic values, our school family’s mission is to encourage and develop innovative thinkers who become value-led leaders who advocate for a socially just and inclusive society.” This is a new position, which will be filled as soon as the school identifies the best candidate.
POSITION SUMMARY
The Advancement Assistant supports the Advancement Office, which includes Admissions, Development, Communications, Marketing, and Alumni Engagement. This full-time position will assist with event coordination and also serve as the welcoming front-facing presence of the school. The Advancement Assistant will provide essential administrative support for Advancement Team initiatives, assisting with event coordination, ongoing planning, and detailed organization of community, donor, admissions, alumni and parent engagement initiatives. The ideal candidate is hospitable, detail-oriented, organized, and able to handle multiple priorities with professionalism, confidentiality, and warmth.
KEY RESPONSIBILITIES
- Serve as the first point of contact for families, visitors, parents, and guests who enter the Advancement space and who call with inquiries, providing a warm and professional welcome.
- Provide administrative support to the Advancement Office, including stewardship, alumni engagement, admissions assistance, communications support, and miscellaneous advancement needs.
- Support school events including donor receptions, alumni reunions, admissions events, parent gatherings, and other advancement events.
- Organize, merchandise, and work with vendors as needed for the school Spirit Store in collaboration with the Advancement Team and various departments.
- Assist with event logistics such as pre-event logistics, materials, setup, and on-site support.
- Maintain Advancement calendar and support school and parish-wide calendar building process.
- Oversee Advancement spaces, preparing meeting rooms and ensuring a welcoming environment for guests.
- Serve as general office coordinator, including ordering supplies, organizing storage spaces, and supporting general office operations.
- Support and operationalize all school-wide campus safety and visitor check-in procedures in the Advancement area.
- Other duties as assigned.
Requirements
- Prior experience in customer service, events, school, or nonprofit settings preferred.
- Strong communication, organization, and multitasking skills.
- Professional, welcoming demeanor with attention to detail.
- Strong command of technology platforms, including Google Workspace and Office 365 systems. Knowledge of Raisers Edge/Blackbaud preferred.
- Ability to work occasional evenings or weekends for events.
- Interest in working collaboratively with many stakeholders in a team environment.
- Bachelor’s Degree and at least three years of experience in a related field.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
