Admissions Assistant
The Admissions Assistant supports the recruitment, enrollment, and retention of students by providing administrative and logistical support to the admissions process. Working under the direction of the Director of Admissions, this role helps ensure a welcoming and organized experience for prospective families while supporting the mission of Bishop Montgomery High School.

Primary Responsibilities

1. Frontline Admissions Support
Serve as a welcoming and professional point of contact for prospective families via phone, email, and in person. Provide basic information and direct inquiries to appropriate personnel as needed.
1. Admissions Process Support
Assist with the day-to-day administrative tasks of the admissions process, including tracking applications, monitoring deadlines, and supporting communication with applicants and families.
1. Records and Data Entry
Maintain accurate and confidential admissions records. Enter and update applicant data in school systems and assist with basic reporting as requested.
1. Applicant File Management
Support the collection and organization of required application materials (transcripts, recommendations, test scores, etc.) and ensure files are complete for review.
1. Event Support
Assist in the preparation and execution of admissions events such as Open House, Shadow Days, and placement testing. Responsibilities include registration, materials preparation, and on-site support.
1. Enrollment and Re-Enrollment Support
Assist with the distribution and collection of enrollment and re-enrollment materials and help track completion.
1. Materials and Inventory Support
Help maintain admissions materials (brochures, packets, etc.) and notify the Director of Admissions when supplies need to be replenished.

Additional Responsibilities

  • Support basic updates to admissions databases and systems
  • Assist with general communications (emails, reminders, follow-ups)
  • Maintain confidentiality and professionalism in all interactions
  • Perform other clerical or administrative duties as assigned

Requirements

Qualifications and Experience

  • High school diploma required; Associate’s or Bachelor’s degree preferred (education, communications, business, or related field)
  • 1–2 years of experience in administrative support, customer service, or office operations; school-based experience a plus
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines
  • Clear and professional written and verbal communication skills
  • Friendly, welcoming demeanor and strong interpersonal skills when working with families, students, and staff
  • Basic proficiency in Microsoft Office (Word, Excel) or Google Workspace (Docs, Sheets, Forms)
  • Ability to learn and use school systems or databases for data entry and record management
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Dependable, responsive, and able to follow direction while working independently on assigned tasks
  • Ability to assist with occasional evening or weekend events (e.g., Open House, Shadow Days)
  • Commitment to supporting the mission and values of a Catholic school environment

Preferred (but not required)

  • Experience in a school, admissions office, or front office setting
  • Bilingual (Spanish)
  • Experience with event support or coordination
  • Familiarity with student information systems or CRM tools

Salary Range: $18-$22/hour

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
