Position Overview:
Bishop Montgomery High School is seeking a dedicated and highly organized Administrative Assistant to the President to support the daily operations of the President’s Office and assist with board communications, meetings, and event coordination. This individual will also provide key support for advancement events, ensuring smooth execution and hospitality for donors, alumni, and community members.
Key Responsibilities:
- Administrative Support for the President:
- Manage the President’s calendar, appointments, and correspondence.
- Prepare reports, presentations, and materials for meetings.
- Maintain confidential records and assist with special projects as needed.
- Serve as a key liaison between the President’s Office and faculty, staff, parents, and external stakeholders.
- Coordinate and communicate Executive Committee and Student’s Advisory Committee meetings, including scheduling, agendas, and meeting minutes
Board of Trustees Support:
- Coordinate and communicate board meetings, including scheduling, agendas, and meeting minutes.
- Arrange catering and hospitality for board meetings and special sessions.
- Distribute key documents and facilitate board communications.
- Take and distribute board committee meeting minutes
Advancement & Event Support:
- Assist in planning and execution of major school events with the Advancement Office Team, including:
- Grandparents Day (Future)
- President’s Knight (Donor Reception)
- Annual Gala (Future)
- Golf Tournament (Future)
- Alumni Career Day (Future)
- Alumni Gatherings (including regional events across the country)
- Work closely with the Advancement Office Team to provide administrative and logistical support for donor relations.
- Coordinate invitations, RSVPs, and event materials.
- Arrange catering and hospitality for special events.
- Take and distribute Advancement Office Team meeting minutes
- Learn CRM systems such as Little Green Light, Raiser’s Edge, etc.
Qualifications & Skills:
- Strong commitment to the mission and values of Bishop Montgomery High School and Catholic education.
- Exceptional organizational and communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Experience coordinating events and working with donors is preferred.
- Ability to maintain confidentiality and professionalism at all times.
Compensation & Benefits:
- Full-time, 12-month position with comprehensive benefits.
- Competitive salary range of $22.00 – $35.00 an hour commensurate with experience.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
