Description
The Administrative Assistant at American Martyrs School serves as the first point of contact for students, parents, faculty, and visitors. This position manages the front office desk and provides crucial administrative support to ensure the smooth daily operation of the school. The Administrative Assistant plays a vital role in maintaining effective communication and providing exceptional service to all members of our school community.
- Provide a warm and welcoming presence at the front desk, greeting visitors and directing them appropriately.
- Answer and direct incoming phone calls in a professional and courteous manner.
- Manage and maintain the student information system and other school databases with accuracy and attention to detail.
- Process student attendance records and manage related communications with parents.
- Support administrators with various administrative tasks including scheduling, correspondence, and document preparation.
- Assist with organizing school events and activities as needed.
- Handle confidential information with discretion and maintain secure filing systems.
- Coordinate the distribution of information to faculty, staff, students, and parents.
- Manage office supplies inventory and place orders when necessary.
- Assist with general office duties such as copying, scanning, and filing.
Requirements
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Previous administrative or front office experience, preferably in an educational setting.
- Strong written and verbal communication skills.
- Excellent interpersonal abilities and customer service orientation.
- Proficient technology skills, including experience with:
- Google Workspace (Gmail, Docs, Sheets, Drive)
- Microsoft Excel and Office Suite
- Database management systems
- Modern office equipment
- Exceptional organizational skills and attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Professional demeanor and commitment to confidentiality.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
