Description
The Administrative Assistant & Bookkeeper plays a vital role in supporting the daily operations of the school by providing professional administrative support and managing financial and bookkeeping responsibilities. This individual serves as a welcoming presence in the school office and upholds the mission and values of Catholic education through professionalism, organization, and service.
Key Responsibilities:
Administrative Support
- Serve as the primary point of contact for parents, students, staff, and visitors, providing a warm, welcoming, and professional presence.
- Manage front office operations, including answering phones, responding to emails, greeting visitors, and maintaining records.
- Support the principal and staff with clerical tasks, scheduling, correspondence, and school communications.
- Maintain accurate student records, attendance, and files in compliance with school and diocesan policies.
- Assist with student enrollment, registration, and withdrawal processes.
- Coordinate office operations to ensure smooth daily school functions.
- Maintain confidentiality of all school, student, and personnel information.
Bookkeeping & Financial Responsibilities
- Manage tuition billing, payments, and account records.
- Track accounts receivable and payable, prepare deposits, and reconcile bank statements.
- Maintain accurate financial records and documentation.Assist in preparing monthly financial reports and budgets for administration.
- Process payroll and maintain employee records as required.
- Coordinate with the parish or diocesan finance office as needed.
- Ensure compliance with diocesan and school financial policies and procedures.
Additional Duties
- Support school events, fundraising efforts, and special programs as needed.
- Maintain inventory of office supplies and place orders as necessary.
- Assist with emergency procedures, safety drills, and student check-in/check-out protocols.
Requirements
Qualifications:
- Experience in office administration and bookkeeping, preferably in a school or nonprofit setting.
- Knowledge of basic accounting principles and financial software.
- Strong organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office, Google Workspace, and school management systems.
- Commitment to Catholic education and support of the school’s mission.
- Ability to maintain confidentiality and professionalism at all times.
- Background clearance and fingerprinting as required.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
