Position Overview:
We are seeking an Administrative Assistant to join our team and support the mission of Our Lady of Mount Carmel. This role is the first point of contact for parishioners and visitors and provides essential administrative and pastoral assistance.

Key Responsibilities:

  • Reception: Answer phones and greet visitors, manage email and mail, assist with inquiries, and provide parish information.
  • Administration: Maintain parish calendar, update ParishSoft records, assist with mailings, coordinate room scheduling, and support special projects.
  • Sacramental Support: Oversee funerals and baptisms, maintain sacrament records, and prepare prayers and announcements for Mass.
  • Wedding Coordination: Assist couples with marriage and quinceañera preparation, manage documentation, and prepare wedding liturgy materials.
  • Pastoral Assistance: Manage pastor’s calendar, prepare monthly Mass schedule, provide clerical support, and assist with meetings and events.

Requirements

Qualifications:

  • Strong organizational and communication skills
  • Excellent time management and the ability to multitask plus attention to detail
  • Professional written and verbal communication skills
  • Ability to work collaboratively with staff and volunteers
  • Proficiency in office software and ParishSoft (preferred)
  • Discretion and compassion when working with parishioners
  • Knowledge of Catholic Faith essential
  • A minimum of 5 years of experience in increasingly responsible and related jobs.

Schedule: Full-time, on-site
Salary Range: $60,000 to $75,000
Benefits: Health insurance, paid vacation and sick leave, retirement plan, and parish holidays.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
