Description

The SRE Administrative Assistant will develop and maintain collaborative relationships amongst pastoral staff, AMS staff/faculty, volunteer catechists, parishioners and parents. The Administrative Assistant assists the Director of Religious Education (DRE) in maintaining a solid foundation of administrative and business practices for catechetical and sacramental preparation ministry and leads the day-to-day administration of the School of Religious Education (SRE).

The Administrative Assistant is a key to the planning of all sacraments and special events, the lead coordinator of hospitality at all events, and central to the smooth execution of SRE on two Sundays, Tuesdays and Wednesdays per month.

RESPONSIBILITIES:
General

  • Answer and direct incoming phone calls and emails, greet and assist parents and students;
  • Assemble and maintain student records for SRE attendance;
  • Maintain office and classroom supply inventory;
  • Interface with Director of Technology to manage copier/printer and maintain consistency of service;
  • Assist DRE with development of annual budget, track expenses, manage invoices and payments and submit requests for reimbursement for approval;
  • Prepare and update class rosters, as needed and student nametags for each class session;
  • Assist DRE to maintain compliance with Archdiocesan policies and procedures.

Hospitality

  • Lead role in coordinating hospitality for all Sacraments, SRE and Families in Faith events, including communicating, coordinating and oversight of AMS and SRE parent volunteers;
  • Prepare proposal, and execute approved plan for purchase of food and service; manage relationships with outside vendors.
  • Be present and available to students, parents, and volunteers at all Sacraments, SRE and Families in Faith events.

Sacraments

  • Assist in the overall planning and executing the sacraments of First Penance & Reconciliation and First Holy Communion, including First Penance & Reconciliation Parent Night, First Holy Communion Workshop and First Holy Communion practices;
  • Determine eligibility to receive sacraments by collecting and maintaining baptismal records;
  • Create sacramental certificates, interface with rectory staff for sign and seal of documents, and arrange for distribution of certificates.

Administrative Support for DRE and SRE Program Assistant, as needed.

Requirements

  • Practicing Roman Catholic, with some catechetical experience preferred;
  • Deeply committed to accompanying our students and families on their faith formation journey, and strives to maintain a pastoral posture in all interactions;
  • Friendly and possesses strong interpersonal skills;
  • Focused on providing excellent service to students and families;
  • Professional and detailed oriented;
  • Outstanding organizational and event planning skills;
  • Team player, ability to effectively collaborate with colleagues in planning common projects;
  • Ability to work afternoons, nights and weekends on a regular basis as required by the catechetical and sacramental program;
  • Technology savvy with ability to learn and utilize on-line systems and platforms in day-to-day operations;
  • Bachelor’s Degree from an accredited institution of higher education and/or at least 3 years of experience in a Catholic faith formation program;
  • Able to occasionally lift 30 lbs and ascend/descend multiple stairs;
  • Experience with Google Suite (Sheets, Docs, Forms, Slides, Calendar, etc.) is desired.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
