Description

Chaminade College Preparatory is seeking an Administrative Assistant for our High School. The position will provide administrative and clerical support to the high school campus and administrative staff, particularly to the Vice Principals. Interfaces with faculty, staff, administrators, students, families, alumni, and the community to support the administrative functions of the high school campus.

  • Has experience of providing administrative and clerical support to a variety of colleagues, balancing long-term tasks and day-to-day needs.
  • Has experience of fielding incoming telephone calls, greeting visitors/colleagues, and assisting with relevant information and support as necessary.
  • Has proven experience of organizing complex tasks that require flexible solutions and vary from day-today.
  • Is professional and collaborative in approach and knows how to work both independently and as part of a team.
  • Is knowledgeable about, and competent in the use of, a range of administrative software tools (e.g., Microsoft Office 365, Google Office, Adobe).
  • Wants to work in a setting committed to equity, diversity, and inclusion of all school stakeholders.
  • Wants to work in a setting committed to balancing education/learning, health, and well- being of all stakeholders.
  • Work as part of the Main Office team to answer telephone calls, greet visitors, and support students, faculty and other members of staff as required.
  • Assist administration, particularly the Vice Principals, and program heads with a variety of tasks and projects. Takes initiative to seek out where assistance is needed.
  • Participate in and attend campus life events, including lunch activities, liturgies, assemblies, etc.
  • Job duties may be assigned to one position or the other depending on the area of emphasis.
  • Administrative Assistants will be cross trained in areas assigned to the other assistants.
  • Provide administrative support to campus administrators, faculty, staff, parents and students.
  • Assist with the coordination of on-campus testing as required.
  • Assist with the various activities related to processing and managing student attendance including greeting students, preparing hall passes, tardy slips, and permits to leave early.
  • Take calls from parents regarding student attendance.
  • Assist with the coordination of the substitute teachers as assigned.
  • Prepare school attendance reports for distribution to faculty, staff, and administration.
  • Maintain accurate student attendance records.
  • Support the Center for Excellence in the following areas: Update and maintain the summer program website and registration system, respond to email inquiries in a timely and professional manner, answer phone calls regarding program questions and assist families through the registration process, support social media presence and development of general marketing materials
  • Performs other duties as assigned.

Requirements

Minimum Education and Experience:

  • High school diploma or equivalent preferred. A bachelor’s or associate degree is preferred.
  • Previous experience preferred. Prior school administrative support, especially in a Catholic educational setting, is preferred; however, other relevant experience is also strongly considered.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
