American Martyrs School is a vibrant K–8 Catholic school committed to academic excellence, faith formation, and building a strong community where every child is known and valued. We are seeking a warm, organized, and highly competent Administrative Assistant to serve as the welcoming face of our front office and a vital support to school operations.
Reporting to the Principal, the Administrative Assistant plays a central role in maintaining an efficient, welcoming, and well-organized school environment. This position requires excellent interpersonal skills, the ability to manage multiple competing priorities, a high degree of professionalism, and a genuine love of working in a school community.

Key Responsibilities

Front Office & Reception

  • Serve as the first point of contact for students, families, staff, and visitors, maintaining a professional and welcoming front office environment.
  • Manage visitor check-in procedures, ensure campus safety protocols are followed, and appropriately direct or screen guests.
  • Answer and route incoming calls, take messages, and respond to general inquiries with clarity and care.
  • Maintain a calm, organized, and efficient front office atmosphere during both routine and high-volume periods.

Student Records & Attendance

  • Maintain accurate student attendance records across physical sign-in sheets and the school’s student information system, investigating and resolving discrepancies promptly
  • Support enrollment processes, including managing student files and updating records as needed.
  • Assist with scheduling, communications, and logistics related to student services

Student & Family Support.

  • Provide first-response care for students who become ill or injured during the school day, following established protocols and notifying appropriate staff and families
  • Handle parent concerns and communications with empathy, patience, and professionalism, de-escalating tense situations when needed.
  • Maintain strict confidentiality with respect to all student, family, and staff information.

Administrative & Operational Support

  • Provide administrative support to the Principal and administrative team, including drafting correspondence, scheduling, and managing office supplies
  • Maintain and update data in Excel spreadsheets, databases, and the school’s student information system.
  • Assist with event coordination, mailings, and communications to the school community
  • Support the administrative team with special projects as needed.

Requirements

Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum 2–3 years of administrative experience, preferably in a busy office environment.
  • Prior experience in a school, educational, or child-serving organization strongly preferred.
  • Familiarity with student information systems.

Technical Skills

  • Proficiency in Microsoft Office Suite, especially Excel; comfort working with databases and spreadsheets.
  • Ability and willingness to learn new software systems quickly, including school-specific platforms.
  • Strong typing, data entry accuracy, and general computer literacy.

Interpersonal & Professional Qualities

  • Exceptional verbal and written communication skills; ability to communicate clearly and compassionately with a wide range of stakeholders.
  • Proven ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
  • Strong judgment and the ability to work both independently and collaboratively as part of a team.
  • Genuine warmth toward children and families; ability to make students and visitors feel welcome and cared for.
  • Uncompromising commitment to confidentiality and professional discretion.
  • Composure under pressure and the ability to de-escalate challenging situations with grace.
  • Alignment with the values and mission of Catholic education.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
