Administrative and Development Assistant

The Administrative and Development Assistant supports the mission of the parish community, “Wherever you are in your faith journey, you are welcome here” through the performance of administrative, development, and secretarial duties. The parish mission flows from the Paulist Fathers’ Mission Direction Statement of reconciliation, evangelization, and ecumenism/inter-faith relations with an emphasis on reaching out to the marginalized in the church and society. He or she possesses a basic understanding of the Roman Catholic faith. Position requires exceptional organizational skills.

The Administrative and Development Assistant reports directly to the Pastor.
The position is exempt. Normal working schedule Monday through Friday, 8:00 AM – 4:30 PM and flexible when serving on parish events on weekends or weekday evenings.
Hiring is contingent on Criminal Background Check and completion of Safeguarding Our Children Program, VIRTUS.
Salary Range: $70K – $75Kper annum. Medical Insurance Contribution.

Ministry of Administration
Responsibilities and Tasks

  • Collaborates with Social Media and Communications Assistant to prepare and publish the weekly parish bulletin; maintain and update the parish website, and assist with or produce other digital and paper flyers and posters as assigned.
  • Collaborates with St. Paul the Apostle School personnel for maintaining facilities calendar and on parish-school events including the Annual Festival.
  • Coordinates with pastoral staff to support the communications for their ministries.
  • Prepares Annual Sacramental Reports to the Archdiocese of Los Angeles.
  • Receives new parishioner data and in collaboration with Business Manager maintains Parish Data System (PDS).
  • Develops and sends digital and paper Welcome Packet for new parishioners.
  • Serves as Safeguarding Our Children Program Parish Coordinator: arranges VIRTUS training, supervises compliance of all staff and volunteers, maintains all records, and prepares compliance reports for the Archdiocese and the Pastor.
  • Recruits, trains, and schedules office volunteers.
  • Participates in Parish Staff meetings and takes notes for distribution to staff.
  • Attends Parish Staff retreats.
  • Assists Pastor in maintaining personnel files.
  • Completes Special Projects as assigned and directed by the Pastor.

Ministry of Development
Responsibilities and Tasks

  • Collaborates with clergy and other staff members, particularly with Pastor, Finance Council, and/or Social Media Communications Assistant, to plan, enhance or develop, and execute parish fundraising efforts including the annual stewardship report to the parish.
  • Coordinates Annual Archdiocese of Los Angeles Appeal, Together in Mission fundraising campaign and Annual Paulist Appeal, and other appeals/campaigns as assigned.
  • In close collaboration with the Parish Business Manager, monitors and acknowledges donations.
  • Other development duties as assigned and directed by the Pastor.

Ministry of Organization
Responsibilities and Tasks

  • Maintains and updates automated messages on parish telephone system.
  • Welcomes visitors to the Parish Offices and assists them as necessary.
  • Answers and directs telephone calls and parish e-mail messages.
  • Assists in clerical work for the Pastor and Ministry Staff.
  • Schedules all parish facilities in close collaboration with school staff.
  • Communicates physical set-up of facilities for events in close collaboration with the Director of Maintenance.
  • Records all sacraments in official sacramental registers and generates all sacramental certificates.
  • Schedules Mass Intentions and assists in scheduling of sacraments.
  • Supervises and accounts for keys and fobs to parish and school facilities.
  • Other secretarial duties as assigned and directed by the Pastor.

Requirements

  • Bachelor’s in Administration or Development.
  • Active member of Roman Catholic faith community or willingness to function in a manner consistent with the mission of the Catholic Church. Should possess a working knowledge of the Catholic faith.
  • Excellent computer skills including Microsoft Word, Excel and Google Calendar. Database experience helpful.
  • Ability to maintain confidentiality in all matters.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
