Mayfield Senior School of the Holy Child Jesus, a 9-12 independent Catholic girls’ school in Pasadena, California, seeks a dynamic and student-centered professional to fill the role of Marketing & Admissions Coordinator. This full-time, year-round position involves supporting admissions and marketing initiatives. The role is salaried, includes full benefits, and may require evening and weekend hours for specific events.

Reporting to both the Director of Admissions and Director of Strategic Marketing & Communications, the Marketing & Admissions Coordinator will serve as a crucial link between the two departments. This role supports student recruitment, enrollment, and marketing initiatives through administrative tasks, data entry and database management, event support, and website and online resources updates, while also serving as a primary contact for prospective families.

Duties and Responsibilities:

Admissions Support:

  • Provides data entry support in processing inquiries, applications, transcripts, and other supporting credentials for application process;
  • Manages the assembling of Admissions mailings.
  • Collaborate with the entire Admissions and Marketing team to plan and execute admissions events, including campus visits, workshops and open house.
  • Enter all notes, contacts, and communication regarding prospective students and families, into the database in a timely manner.
  • Assist with the calendaring, planning of and participation in campus visits and all admissions events.

Marketing & Communications Support:

  • Coordinate Master School Calendar set-up and publishing.
  • Assist with website content updates, requests and maintenance.
  • Assist with managing email marketing lists, creating templates and preparing mass communications for key audiences.
  • Handle school forms for enrollment management, academics, and marketing.
  • Copy edit and proofread communications materials to ensure accuracy.

Maintain and update online resource boards.
Respond to email inquiries.

Knowledge and Skill Requirements:

  • Experience using software programs such as Google Suite, Blackbaud’s Student Information Systems, Finalsite, Microsoft Office Suite, and Adobe Creative Suite
  • Dependable, highly organized, and very detail oriented
  • Exceptional interpersonal, written, and oral communication skills
  • Demonstrates a strong commitment to diversity, equity, inclusion, and belonging

The annual salary range for this position is $50,000-$55,000. A comprehensive benefits package will be provided including 403(b) matching contributions upon hire.

  • Minimum BA degree
  • One to three years of experience in an administrative position, admissions office, or marketing department
  • Experience working in a school setting with students, families, counselors, and educators
  • Discretion in dealing with sensitive and confidential admissions issues
  • Sense of humor, warmth of personality, and welcoming demeanor

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
