CONFIRMATION COORDINATOR JOB DESCRIPTION
LOCATION: Saint Anthony Parish, San Gabriel
SUPERVISED BY: Pastor
EMPLOYMENT STATUS: Part Time (25 Hours)
NON-EXEMPT: (Hourly, Keeps Time Records)

POSITION SUMMARY

The Confirmation Coordinator position entails a high level of collaboration, communion, and joint decision-making with existing staff and volunteers; the cultivation of a space in which volunteers can realize their baptismal call to participate in the life of the Church through youth ministry; and close attention to the mission statements of the parish and the Confirmation program. The Confirmation Coordinator works co-responsibly with the Pastor, the PFCFFT (Parents & Families at the Center of Faith Formation Team) Youth Representative, the Faith Foundations Programs Coordinator, the Youth Ministry Core Team, and our youth and adult volunteers. The Confirmation Coordinator will foster an inclusive team culture in which all voices are heard, guarding against cliques or preferential treatment.

“St. Anthony’s High School Confirmation Program begins with acceptance, intentional care, and authentic conversation, through which teens are invited to experience a genuine encounter with God, explore a breadth of spiritual expression, and enrich the life of the parish community by entering more deeply into it and giving back to it. Through participation in the transformative power of prayer in community, teens are called to discover who they truly are and the purpose for which God created them. The program is guided by a team of imperfect individuals, who, grounded in fellowship of one another, are seeking to grow closer to God themselves. By the grace of the Holy Spirit and with a disarming disposition, they simultaneously strive to support, guide, and accompany the High School candidates on their walk with God.”

DUTIES AND RESPONSIBILITIES

Collaboration, Team Development, and Planning

  • Works co-responsibly with Pastor, the PFCFFT Youth Representative, the Faith Foundations Programs Coordinator, and the Youth Ministry Core Team on visioning for the program, selecting and developing curriculum, and creating schedules for Sunday sessions, retreats, and other activities, in alignment with the parish mission statement and the Confirmation program mission statement.
  • Work co-responsibly with the above team in recruiting, coordinating ongoing formation for, and helping evaluate youth/adult volunteer relationality and culture with the purpose of cultivating an inclusive environment for mutual listening and prayer.
  • Strategize with the team on how to reach unconnected youth and families, including creating connections with surrounding high schools, especially Don Bosco Tech.
  • Collaborate with the youth/adult volunteer team in planning, setting up, and conducting Sunday sessions and retreats.
  • Collaborate with the 5 pm Youth Mass team to create a space for youth to participate as liturgical ministers and choir members.
  • Collaborate with the parish Vocations Committee to incorporate vocations considerations into Confirmation programs/activities.
  • Collaborate with the team and parish ministries to coordinate service opportunities to help teens complete service requirements.
  • Collaborate with the PFCFFT Youth Representative to continue fostering a pathway from St. Anthony School to teen Confirmation.
  • Collaborate with the PFCFFT Youth Representative to continue fostering a pathway between Fatima Youth and teen Confirmation.
  • Collaborate with PFCFFT Youth Representative to create a pathway from teen Confirmation to parish life, including Youth Bible Study, the Young Adult group, and other activities.
  • Attend weekly staff and team building meetings, staff development days, all necessary diocesan meetings, etc.
  • Attend applicable workshops, seminars, and other continuing education opportunities as needed or directed by the Pastor.

Communication, Registration, Parent Engagement, and other Administration

  • Collaborate with the youth/adult team to promote the program to the parish and beyond using Flocknote, Social Media, Mass Announcements, Bulletin Announcements, Fliers, etc.
  • Collaborate with the youth/adult team to communicate with the youth using various media (e.g., the parish bulletin, the parish website, Twitter, Instagram, Facebook, etc.).
  • Update the Bulletin “Young Church” page every month
  • Work with Faith Foundations Programs Coordinator on creating and implementing the registration process, collecting and recording registrations, and payment of fees.
  • With Faith Foundations Programs Coordinator, serve as point of contact for parents regarding the Confirmation program, responding to questions and concerns in a timely and pastoral manner.
  • Communicate regularly with parents about schedules, expectations, program updates, and their teen’s participation using Flocknote and other communications.
  • Assist Faith Foundations Programs Coordinator in planning and executing parent orientation sessions and information nights.
  • Work with Faith Foundations Programs Coordinator to prepare an annual budget and track costs/expenses.
  • Order supplies as needed within budget.
  • Work with Youth Ministry Core Team and Faith Foundations Programs Coordinator on administrative tasks as needed (e.g., prepare and distribute parent permission forms, collect and deposit funds raised at events, etc.).
  • Ensure major meetings/events are on the parish calendars.
  • Works with Faith Foundations Programs Coordinator to maintain database and records and to record Confirmation sacramental records.
  • Work according to a schedule coordinated with Pastor and Faith Foundations Programs Coordinator.
  • Coordinate with the regional bishop’s office to schedule the Confirmation date, communicate candidate numbers, and fulfill any requirements from the bishop’s office regarding the liturgy.
  • Work with the parish liturgy team and Pastor to plan and prepare the Confirmation liturgy, including music, ministers, environment, and the order of the rite.
  • With Faith Foundations Programs Coordinator, coordinate candidate and sponsor rehearsal and logistics for the Confirmation liturgy
  • Ensure sponsor eligibility requirements are communicated to families and verified in accordance with Archdiocesan guidelines.
  • Prepare certificates, programs, and any materials needed for the celebration of the sacrament.
  • Other related duties, as directed by Pastor.

Safe Environment

  • Ensure a safe environment by following Archdiocesan guidelines for youth/adult volunteers, ensuring Safeguard the Children/Virtus compliance.
  • Work with Office Manager to ensure current Virtus Certification and Archdiocesan and Department of Justice clearance for all volunteers.
  • Attend Safeguard the Children Committee meetings.
  • Consult with Pastor about suspected cases of abuse/neglect, and ensure they are reported to authorities within 36 hours of reasonably suspecting said abuse/neglect.
  • Treat teens’ private information confidentially (i.e., maintain a proper balance between teens’ right to privacy and parents’ right to know important information involving their teens).
  • Work with teens and families, when necessary, regarding a student’s mental health.

Requirements

QUALIFICATIONS

  • Practicing Catholic who abides by Catholic teaching and can participate fully in sacramental and parish life.
  • Able to work co-responsibly with staff and volunteers, collaborating on major decisions with the Pastor, the PFCFFT Youth Representative, the Faith Foundations Programs Coordinator, and the Youth Ministry Core Team and creating an environment in which the team is able to realize their gifts and baptismal calling.
  • Experience in faith formation with youth in a parish or similar setting.
  • Comfortable leading prayer in front of large groups.
  • Excellent communication skills, including written, verbal, and public speaking and presentation skills.
  • Has excellent human relations and interpersonal skills; self-starter and well-organized; team player.
  • Able to foster an environment in which volunteer participation flourishes.
  • Sensitive to controversial issues and able to respond according to Church teaching.
  • Develops programs in accordance with the Archdiocesan Office of Religious Education guidelines/directives.
  • Proficient with the use of media and technology for effective program implementation.
  • Able to accommodate schedule of program and events.
  • Able to lead and coordinate program fundraisers to build community and accountability between youth/parents/families.
  • Must be bilingual in English and Spanish.

EDUCATION BACKGROUND

  • A bachelor’s degree in theology/humanities or related field or equivalent experience
  • Confirmation catechist experience
  • Catechist Certification desired

ADMINISTRATIVE EXPERIENCE

  • Experience in working with and supervising employees/volunteers.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
