Job Summary:
The Confirmation Coordinator is responsible for overseeing and coordinating all aspects of the Confirmation preparation process for candidates at St. Julie Billiart Church. This includes managing communication with candidates, families, and volunteers, organizing events and retreats, maintaining records, and ensuring that the sacramental preparation meets Catholic guidelines. The ideal candidate will possess strong organizational, communication, and interpersonal skills, and as a practicing Catholic will have a deep understanding of Catholic traditions and sacramental life.

Key Responsibilities:

1. Program Coordination:
-Plan, coordinate, and oversee all aspects of the Confirmation preparation process, including scheduling meetings, classes, retreats, and rehearsals.
-Collaborate with the DRE, pastor, religious education team, and other parish staff to develop a comprehensive Confirmation program.
-Ensure candidates meet all necessary requirements for Confirmation, including participation in preparation classes, retreats, and service projects.

2. Communication:
-Serve as the primary point of contact for candidates, their families, and sponsors throughout the Confirmation preparation process.
-Review Program Curriculum annually and update the Confirmation handbook as required.
-Conduct annual surveys with parents and confirmation students.
-Provide timely communication about program schedules, expectations, and requirements through email, phone calls, and meetings.
-Address any questions, concerns, or issues raised by families and candidates in a compassionate and professional manner.

3. Event Planning & Logistics:
-Coordinate and manage logistics for Confirmation events, including retreats, rehearsal days, and the Confirmation ceremony.
-Work with volunteers, sponsors, and parish staff to ensure smooth execution of all events.
-Ensure that all materials, such as Confirmation certificates, robes, and programs, are prepared and distributed.

4. Record Keeping & Documentation:
-Maintain accurate and up-to-date records of candidates’ progress, sacramental history, and participation in the program.
-Ensure that all required forms, including registration, sponsor forms, and sacramental records, are completed and filed appropriately.

5. Spiritual Support & Formation:
-Foster a welcoming and supportive environment for Confirmation candidates and their families.
-Provide spiritual guidance and support to candidates as they prepare for the sacrament, ensuring they understand its significance within the Catholic faith.
-Organize and lead preparatory retreats and events that promote spiritual growth and community building.
-Stay informed about Catholic teachings, trends in youth ministry, and best practices for engaging young people in their faith.

6. Collaboration & Teamwork:
-Work closely with parish staff, volunteers, and other ministry leaders to ensure the success of the Confirmation program.
-Recruit and train volunteers to serve as Confirmation catechists, or event assistants as needed.
-Attend meetings and events organized by the Archdiocese of Los Angeles (or relevant diocesan body) to stay connected with other youth ministers, share best practices, and collaborate on diocesan initiatives.
-Along with the DRE, support Youth Ministry Coordinator as needed for the vitality of Peer Ministry.

Requirements

Qualifications:
Faith: Active member of a Roman Catholic parish faith community.
Education: Bachelor’s degree preferable. Certifications in religious education or ministry are required.
Experience: Previous experience in Confirmation, youth ministry, religious education, or event coordination is highly desirable. Familiarity with Catholic sacramental preparation is required.

Skills:
Strong teaching, organizational and time-management skills with the ability to handle multiple tasks simultaneously.
Excellent communication skills (both written and verbal) to interact with candidates, families, and volunteers.
Ability to work independently and as part of a team.
Knowledge of Catholic faith and sacramental practices, particularly the sacrament of Confirmation.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment and social media platforms.
Ability to maintain confidentiality and manage sensitive information.

Working Conditions:
Hours: 10-15 hours per week. Working hours include some evenings and weekends, particularly during Confirmation classes, retreats, parish events and rehearsals.
In office: working hours are in the parish office, including 3 hours overlapping with DRE for weekly planning and team synergy. Work from home can be an option upon agreement with the DRE and pastor.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
