Position Summary

The Vice President of Financial Affairs/Controller supervises the day-to-day operations of the Business Office at Notre Dame High School. This supervision primarily includes budgeting, financial reporting, cash and investments, debt, payroll, supervising funding for human resource benefits, financial aid, enrollment/tuition management, purchasing and receipts, cafeteria operations, and other vendor contracts. The Vice President of Financial Affairs reports to the CEO & President and is part of the school Executive Council team. The position works closely with the Human Resources and Wellness Director on HR Benefits and very closely with the CEO & President and the designated administration, to strategically allocate and preserve the school’s precious resources.


• Tracks endowment fund balances and reconciles endowment grants
• Prepares the annual school budget using guidelines and policies provided by the CEO & President in consultation with the Principal and the Board of Directors
• Coordinates annual budget input from department heads (in consultation with Principal) and administrators and submits budget and analysis reports to the CEO & President
• Monitors the annual school budget
• Prepares periodic financial reports for the Board of Directors, administrators, and department heads
• Maintains appropriate controls over leases, rental agreements, cash-processing and investments
• Coordinates the annual audit with the school’s external auditors
• Recommends appropriate policies consistent with sound fiscal practice and mission of the School
• Attends Board meetings and works with the Board Finance Committee
• Coordinates supply distribution and purchasing of supplies for offices, teachers, and events
• Administers the student financial aid program in cooperation with the Principal and CEO & President
• Administers the student enrollment program in cooperation with the Admissions and Technology Departments
• Negotiates vendor contracts for cafeteria, copiers and other vendors for the business office as needed
• Prepares tax and regulatory reports, corporate reports, and files tax exemption documents
• Prepares and files California quarterly sales tax reports
• Administers the school’s e-rate program (federal telecom rebates), and federal funding programs (i.e COVID)
• Administers the school’s credit card purchase program
• Administers the school’s various credit card merchant accounts
• Oversees transportation requests for school-owned vehicles, rental cars, and charter buses (non-athletic)
• Works with Human Resources and Wellness Director on Supervising staff benefit programs, with the CEO & President on enrollments, costs, and administration and oversees the school’s healthcare insurance plan, retirement and benefit plans
• Maintains facility usage agreements, insurance certificates, and fee collections
• Represents NDHS on the CAPS-SIG Board (Workers Compensation Fund Representative) and supervises the school workers compensation program, including the annual payroll audit
• Manages the school’s accounting, student billing, enrollment, and financial aid software
• Reviews and manages liability and student accident insurance program, reports claims, and coordinates certificates of insurance requests
• Manages cash flow and short-term investments
• Plans and manages the capital budget with the CEO & President and Director of Facilities
• Maintains all banking relationships including school operating accounts, investment accounts, debt and derivative accounts, and performs necessary transferring of funds for principal and interest payments on the school’s long-term loan and interest rate swap
• Other financial or school duties as necessary


 Business or Accounting degree mandatory, a masters in business administration is preferred
 CPA preferred
 Minimum 10 years experience in a senior management role ideally with both external audit and in-house financial management experience gained in a high-growth organization
 Experience either as an employee or board member of a nonprofit organization; must be familiar with nonprofit finance and accounting regulations
 Proven track record of success facilitating progressive organizational change and development within a growing organization
 Excellent judgment and creative problem solving skills including negotiation and conflict resolution skills
 Strong mentoring, coaching experience to a team with diverse levels of expertise
 Entrepreneurial team player who can multitask
 Superior management skills; ability to influence and engage direct and indirect reports and peers
 Self-reliant, good problem solver, results-oriented
