St. Thomas More Catholic Parish is looking for a full-time secretary and administrative assistant. We are looking for candidates who have worked in a Catholic Parish or Catholic Environment.
Secretary/Administrative Assistant Responsibilities
o Secretary/administrative assistant to keep proficient maneuver of the parish office
o Answering phone calls, meetings with visitors, and issuing sacramental documents.
o Typing, copying, filing, and binding documents.
o Scheduling, booking, and requesting guest priests for Baptisms, Weddings, Sacraments, and other ceremonies.
o The weekly parish bulletin—gather documents and strong writing and reading skills
o Call for and schedule maintenance and repairs to the parish facilities and equipment.
o Maintain a professional appearance and follow a moderate dress code.
o Communicate with staff and visitors in English and Spanish.
o Manage several tasks/projects simultaneously.
o Occasionally requires adapting to high-pressure situations while remaining professional.
o Respect and keep private privileged/confidential information.
o Manage schedules and calendars, and create basic reports.
o Requires using technology devices such as computers, office phones, copiers, printers, and smart devices.
o Regularly use Microsoft Word, Excel, PowerPoint, Publisher, and Outlook.
o Analyze information and create basic reports.
o Organize meetings and events, and write agendas.
o Professionalism: Appearance, communication, and demeanor.
o Strong Verbal and Written Communication skills (spelling and grammar are essential).
o English and Spanish proficiencies.
o Demonstrate flexibility and sound judgment.
Education and Experience
o A high school diploma or equivalent education required
o Three years of Catholic Parish or School secretary/administrative assistant experience
o Valid driver’s license
o Two references
