Parish Office Assistant

St. Raphael Church (Santa Barbara)






Performs reception and routine clerical duties. Provides secretarial and administrative support to Pastor, Business Manager and designated parish staff as necessary.

Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
The following tasks are considered essential functions of the position. To perform the job successfully an employee must possess the abilities and aptitude to perform each duty proficiently.
· Acts as receptionist, answering telephones and greeting visitors; uses tact and discretion when listening to parishioners in need of assistance, referring them to priests and others as appropriate.
· General communications, including translating and interpreting Spanish/English verbal and written communications and publications.
· Performs research duties to obtain information; collates, organizes and summarizes data for review and action by others.
· Gathers and compiles information and prepares lists of church members for a variety of purposes.
· Types a variety of correspondence, schedules, forms and lists from notes or handwritten drafts; composes and types own correspondence; reviews drafts and finished documents to ensure correct grammar and spelling.
· Assists in mailing projects by collating materials, folding and stuffing, addressing and stamping envelopes.
· Performs other routine clerical duties as requested such as simply typing lists, envelopes or other items, filing, copying, etc.
· Actively supports philosophy and goals of the Church; participates in Church activities including attending services; assists with ministries and other activities.
· Performs related duties as required



Education and Experience
Any combination of experience and education likely to provide the required knowledge, skills, and abilities, typically:
· High School graduation.
o Courses, training, and experience in typing, computer operation and office procedures.

Knowledge, Skills, and Abilities
To perform effectively in this position the incumbent is required to have the following skills:
· Typing sufficient (minimum 45 wpm) to type envelopes, forms, labels and short correspondence.
· Effective oral and written English and Spanish communication skills sufficient to answer telephones, take messages, translate, interpret, follow instructions, and file or locate documents.
o Manual skills to assemble materials, stuff envelopes, file, operate copy machine and computer for data entry.
o Familiarity with data entry on a computer.

Knowledge of:
· Standard office methods and procedures, and business etiquette.
· Basic computer skills and operation
· Current word processing, spreadsheet, and database software
· Church policies and organization.

Ability to:
· Maintain confidentiality.
· Be Flexible and adaptable
· Occasionally lift up to 20 pounds.
· Sit or stand for sustained periods of time on a daily basis.
· Perform tasks requiring intermittent bending, stooping, and walking.
* Sustain frequent movement of the fingers, wrists, hands and arms.
* Effectively communicate orally and written in English and Spanish. For positions requiring bi-lingual skills, the incumbent must also be reasonably fluent in English and Spanish or other language as necessary
