Accounts Receivable Manager

Chaminade College Preparatory is seeking an ACCOUNTS RECEIVABLE MANAGER to join Chaminade’s Business Office team.

The Accounts Receivable Manager oversees the tuition accounts receivable function and student billing system for a 1,800 student account base. The Manager delivers excellent external and internal customer service, demonstrates the highest level of professionalism and adherence to best practices and process improvement. This position is key to ensuring the organization’s financial sustainability. The Manager supports Chaminade’s mission to Love, Learn, and Lead through the timely collection of tuition revenue and building of effective professional relationships with Chaminade families and other Chaminade stakeholders.

Essential Duties and Responsibilities
Billing and Collections
• Ensures timely collection activities for accounts receivable, including achieving department key performance indicators.
• Establishes and implements standardized collection methods for poor performing collection accounts to achieve immediate remediation and improvement plans.
• Implements school policies and adheres to industry best practices.
• Prepares weekly, monthly, quarterly, annual, and ad-hoc metric and status reporting to improve A/R cycle time and school’s financial performance.
• Provides effective communication across departments with regard to A/R cycle transactions
• Develops and utilizes tracking methods and required documentation, including updating of returned item and student withdrawal trackers
• Prepares account reconciliations and financial analysis
• Accurately records and applies payments in compliance with accounting standards
• Frequently communicates with Financial Aid Director on collection account status for aid recipients
System Administration
• Serves as system subject expert.
• Is responsible for data integrity of system transactions.
• Will complete 2021 implementation of new student billing system and associated processes.
• Utilizes and maximizes new system functionality and develops associated workflows.
• Partners with software provider in the development of enhanced system capabilities.

Customer Service
• Responds on a timely basis to parent account inquiries including explanation of account balances.
• Assists parents with student billing system questions.
• Resolves complex account situations and arrives at timely resolution.
• Effectively articulates financial policies to Chaminade families and stakeholders.
• Conducts all communications in a manner that is grounded in and reflective of Chaminade’s mission, Characteristics of Marianist Education, and policies.
Performs other duties as assigned.

This is a non-exempt (hourly) position. The salary for this position will be commensurate with experience. Qualified candidates should have a combination of education and experience equivalent to the following:
• Bachelor’s degree preferred. Coursework in finance or accounting preferred.
• 5 years of experience in credit/collections with responsibility for direct customer contact.
• Experience compiling data and providing meaningful data analysis required.

Candidates should possess the following knowledge, skills, and abilities:

• Excellent verbal and written communication skills.
• Ability to fully manage a tuition data system including setting up and editing accounts, running reports, and troubleshooting system problems.
• High initiative and ownership for full A/R cycle.
• Excellent organizational skills to manage high volume and ability to work methodically to produce accurate results.
• Highest level of professionalism in dealing with difficult customers, including strong listening skills and ability to understand customer’s unique financial situations.
• Ability to work well under time and other constraints.
• Demonstrates extensive knowledge of proper accounting treatment for accounts receivable transactions.
• Intermediate skill level of the Microsoft Office Suite (Word, Excel, PowerPoint) and Internet.
