Description
The Payroll Accountant is primarily responsible for the timely preparation, accurate reconciliation and processing of the school’s payroll. Maintaining accurate reporting, adherence to federal and state compliance and training of personnel on time keeping records. S/he must be highly organized, accurate and demonstrate attention to detail. Working at St. John Bosco High School (Bosco) requires a commitment to the mission and values of the school.

Responsibilities (include, but are not limited to, the following):
- Fully responsible for all aspects of the payroll process, maintaining up to date knowledge of payroll and benefit laws and being the primary liaison with outside payroll vendors.
- Responsible for timely and accurate onboarding and termination of employees.
- Prepare, verify accuracy and timely record of payroll journal entries per outline processes and policies as established.
- Process semi-monthly payroll using ADP and Heartland Systems for ~250+ employees
- Monitor changes in payroll related data, and other information to detect and reconcile payroll discrepancies
- Compile employee time, and payroll data from timesheets and other records ensuring accuracy and completeness.
- Validate wage letters match actual payroll paid. Issue and record adjustments to pay related errors, or retroactive increases, using documentation that contains detailed explanations that has been properly authorized
- Reconcile payroll regularly to include quarterly reconciliations to Form 941
- Maintain integrity of databases and files to ensure accurate coding by regular reviews and reconciliations to include PTO, sick time, ACA compliance reporting, etc
- Responsible for keeping supervisor and administration updated on regulatory compliance changes and updates.
- Timely respond to questions related to payroll
- Assist and complete month-end close and performs accounts reconciliations as assigned
- Proficiency in using the school’s software systems to manage responsibilities efficiently and accurately.
- Assist with processing and recording of deposits to the school
- Strict discretion and confidentiality required
Other Duties:
- Maintains formal written desk procedures and annual calendar
- Cross-train and backup to other Business Office functions, as necessary.
- Acts as contact with other departments and volunteers providing positive customer service skills and timely responses
- Other duties or responsibilities/projects as assigned
Requirements
Qualifications (minimum requirements):
- A high school diploma and three years payroll and time-keeping processing experience. Bachelor’s degree in accounting preferred.
- Initiative and ability to learn new technology and programs. Heartland Systems, ADP and Empower a plus.
- Demonstrated attention to detail with problem solving/analytical skills and ability to work under pressure and meeting deadlines
- Proficient in 10-key, basic word processing and spreadsheet skills
- Ability to communicate effectively and professionally, both on an internal and external basis, using excellent verbal and written communication skills, including the ability to express oneself clearly and concisely displaying a positive attitude
- Self-directed with proven ability to assume responsibility, work independently, and move work/projects through to completion with minimal supervision
- Ability to prioritize and complete tasks/assignments/projects within established time frames, including the ability to stay focused and manage multiple projects simultaneously
- Excellent organizational skills
- Adaptable and open to change
- Bilingual Skills: Spanish is plus
Physical Requirements:
- Ability to sit, stand and/or move around the work area and building
- Ability to lift, or move, up to 15 pounds as needed
- Ability to travel around campus safely and comfortably
- Ability to use a keyboard (or alternative input device) and other office equipment
- Ability to read information in printed material and on a computer screen, often for extended periods of time

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
