Job Summary
The Accountant II will work collaboratively with the Director of Finance and Operations in all duties as assigned. They may also work with all of Marymount’s constituencies – including but not limited to faculty, administrators, parents, vendors, and other members of the Business Office Team.

This is a key position and the person is responsible for processing transactions relating to student billing, including charges for tuition and fees, application of deposit credits and tuition/other payments received by Marymount and enrollment contract management, and participation in the processing of applications for financial assistance. The position requires effective organizational and time-management skills, and a high degree of accuracy, attention to detail, critical thinking, and confidentiality while meeting time-sensitive deadlines.

Duties and Responsibilities
The Accountant II assists in managing the financial operations of the Business Office related to student billing/accounts receivable and general ledger while complying with all Marymount High School policies, procedures, quality standards, and safety and environmental regulations.

The Accountant II maintains accounting records as required by School policy and required for GAAP and internal control purposes (documentation, approvals, etc.) by ensuring that all transactions are properly documented, timely, and accurately recorded in the general ledger.

Primary duties and responsibilities include, but are not limited to the following:

Student Billing/Financial Assistance

  • Accounting for enrollment contracts for returning and new students
  • Checking in and reviewing all Financial Assistance applications and supporting documents and contacting parents for missing documentation
  • Serves as the School’s liaison with FACTS Tuition Management
  • Sets up all student accounts through FACTS Management for the new fiscal year with heavy interface and collaboration with the Admissions Department
  • Works with parents to ensure registration in FACTS Management
  • Prepares any miscellaneous general ledger entries pertaining to student billing
  • Monitors all outstanding accounts receivable and reports to the Director of Finance bi-weekly
  • Prepares month-end aging report for the Director of Finance
  • Maintains sub-ledger accounts for extended payment plans and financial aid
  • With the support of the Director of Finance, direct credit and collections

General Ledger

  • Analyzes general ledger for accuracy in posting
  • Reviews and analyzes budget to actual results regularly and assists in variance analysis as needed
  • Runs and distributes budget to actual and variance reports to Marymount department managers
  • Assists in bank reconciliations under the direction of the Director of Finance

Cash & Cash Flow Activities

  • Assists in maintaining and reviewing reports from the bank and investment accounts
  • Assists the Director of Finance in preparing monthly cash flow reports
  • Assists the Director of Finance in reconciling bank accounts, fund accounts, and development donation activities.

Annual Audit

  • Assists the Director of Finance in the preparation of schedules and work papers for the annual financial statement audit and the annual retirement account review

General Responsibilities

  • Provides continuity in the accounting department by learning the accounts payable function and filling in where needed.
  • Assists the Director of Finance in the preparation of department budgets and forecasts
  • Accumulates statistical data to assist in the preparation of annual reports/surveys for the School’s organizations (i.e., California Independent School Business Officers Association (Cal-ISBOA), National Association of Independent Schools (NAIS), Western Association of Schools and Colleges (WASC), etc.).
  • Ensures compliance with government reporting of informational tax returns in conjunction with outside auditors, insurance companies, and other reporting requirements
  • Performs other duties as assigned

Requirements

Qualifications, Skills & Abilities
Candidates should have a bachelor’s degree in accounting or a related discipline and at least five years of experience in accounting or a related discipline. Significant related experience may be considered in place of the degree. The candidate should have experience with general ledger applications, including accounts payable, and accounts receivable, and be willing and able to communicate frequently with the Director of Finance, other school administrators, and other Business Office Team members. School experience is a plus.

The ideal candidate will possess the following personality traits: team player, energetic, receptive to new ideas, customer service oriented, and comfortable in an educational setting where students and adults are present.

The candidate should have excellent organizational skills and be proficient in: Blackbaud Financial Edge accounting software and FACTS Management (or similar financial and billing program applications); Excel, Microsoft Word, and PowerPoint, as well as demonstrate a willingness to learn financial accounting software and other programs as assigned.

Physical Skills and Abilities
This position requires ordinary ambulatory skills; and the ability to sit, stand, and walk around campus when needed. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard.

Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
